This position is located: Davis Campus
University Relations (UR) provides leadership in building enduring public trust, understanding, and support for UC Davis and its mission of teaching, research, and public service. The total UR operating budget is approximately $14.9 million and is comprised of approximately 130 employees. UR manages fundraising campaigns for the central campus, university communications, alumni services, and directs the campus' government and community relations. There are five functional units within UR: Alumni Relations; Development; Finance, Information Management and Administrative Services; Government and Community Relations; and University Communications.

University Communications, which encompasses the News Service, Publications and Marketing units, provides campus leadership in planning, coordinating and implementing communication programs. These communications efforts foster increased awareness, understanding and support of UC Davis' mission, vision, accomplishments and needs among its many internal and external constituencies. University Communications is comprised of a staff of 27 and budget of $4.1 million. It serves as the official voice of UC Davis to regional, state, national and international news media.

Responsibilities:
Develops and maintains contacts with faculty, staff and students to generate (in writing and verbally) and market news materials on campus research and other newsworthy activities, primarily in the humanities, arts, social sciences, business, education and law. Solicits and reviews research reports, grant summaries, campus documents, specialized journals and newsletters, and conducts campus interviews for leads to news and feature stories. Writes news releases, query letters, news tips and other appropriate news materials and markets them to targeted regional, state and national media. Organizes and staffs news conferences and media availabilities when appropriate. Assists print and broadcast media representatives and free-lance writers in identifying and developing campus stories. Develops periodic news tips and markets them to regional, state and national media outlets. Recognizes photo and visual opportunities; prepares cutlines. Reads and clips news items in newspapers and other assigned publications. Assists administrators, faculty, staff and students in interacting with news media and special publics. Advises on the preparation of materials and events for working with lay persons and popular news media. Assists in briefing media and other visitors regarding campus programs. Develops and maintains productive relationships with diverse print and broadcast editors, writers and reporters locally, regionally and across the country. Provides information on campus activities to the general public, individual writers, and media representatives upon their request. Researches information requested, develops correspondence, returns phone calls, responds to e-mail, develops fact sheets, or otherwise transmits the information. Compiles and assembles information packets in response to public and media requests. Provides consultation to administrators, faculty, staff and students on communication strategy, message development and issues management. Advises on information and public relations policies, publicity values, timing, techniques and working with the media. Identifies audiences and develops communications plans for internal and external needs. Develops talking points and background sheets. Handles sensitive, confidential and time sensitive information with consideration to legal and policy issues. Plans campus media events and develops strategies, programs and materials. Writes occasional news and feature stories for UC Davis Magazine, Dateline, and other unit publications. Contributes daily to the electronic publication of news clippings. Writes occasional stories and information for campus News & Information Web sites.

Requirements:

The Department of Music is a complex academic department with 13 faculty, 28 lecturers and 20 teaching assistants. The department offers the Ph.D. in musicology, ethnomusicology and composition, and the MA in conducting. In addition, it offers a BA degree with emphasis in either theory/composition, music history or music performance.

The department sponsors around 130 concerts and public events each year in a variety of venues, including the Mondavi Center for the Performing Arts. Events include concerts by the department's resident professional contemporary chamber ensemble and its ten student/community ensembles (UC Davis Symphony Orchestra, University Chorus, Chamber Singers, Baroque and Early Music ensembles, Wind Ensemble, Concert Band, jazz big band and jazz combo, and gospel choir), plus master classes and concerts by annual artists-in-residence, guest lectures, a weekly free noon concert series and numerous student recitals.

Responsibilities:
Under the direction of the Sr. Public Events Manager, participate in the planning, managing and coordination of the production of the Department of Music concerts and public events.

Oversee the student crew and student recording engineers.

Act independently as stage manager and/or house manager and Music Department representative during smaller events and co-stage/house manager in the larger events i.e., Jackson Hall concerts. Serve as trouble-shooter before, during and after events to deal with emergencies and artists' needs.

Coordinate physical arrangements for events, including transportation of instruments and equipment, and storage for the period between rehearsals and concerts. Assure that staging, backdrops, lighting, acoustical shell, risers, conductor's podium and stand, pianos, harpsichords, organs and other instruments are arranged according to the needs of the performers.

Coordinate/arrange for audio needs for events.

Reserve campus vehicles during the concert season, supervising student employees in timely pickup and return of instruments and equipment.

Oversee cleanup after each event. See that all items are returned to their proper place.

Provide transportation for visiting artists. Serve as database manager for the Publicity/Production unit, including mailing lists, email lists and internal calendars.

Update Department's online event calendar.

Create flyers and noon concert programs.

Facilitate department publicity mailings of 200 to 10,000 pieces through campus Bulk Mail Center.

Send weekly event e-mail to 1400 patrons on e-mail list.

Provide customer service on music publicity line (answer phone, give concert information, mail brochures).

Arrange for photography at department events and take photos as needed of faculty, staff, students and visiting artists for Web site and publicity.

Maintain publicity distribution lists, both on- and off-campus, and contacts with representatives of points of distribution (Yolo County Visitors' Bureau, galleries, restaurants, information desks, etc.). Ensure current materials are at all locations.

Distribute publicity materials through campus distribution systems (RAs, campus mail).

Coordinate posting of publicity materials on campus boards.
Proofread publicity and concert materials (postcards, programs, brochures).

Maintain historical information about all events, including photographs of events and copies of printed material for department archives.

Provice support for receptions and other public relations activities for artists, donors and others as needed, including catering, printing and mailing of invitations, etc.

Perform photocopying and CD duplication.

Contact campus vendors, as needed, such as supplies, Reprographics, facilities, copier service, etc. Oversee deadlines and requirements for grant submissions by resident ensemble.

Assemble grant materials per guidelines for each grant.

Research new funding possibilities.

Requirements:
Experience providing support in the planning, managing, and coordinating production of public music performances. Knowledge of and familiarity with standard musical repertoire and musical instruments ( i.e., names, care, and basic handling). Demonstrated time management and organizational skills to work effectively and efficiency under constant pressure of deadlines; to work within established guidelines, stles and budgets; and careful attention to detail. Excellent writing and proofreading skills. Experience supervising the staging of public events, stage crews and related personnel. Experience working with students and student employees in an intense, academically oriented setting. Demonstrated interpersonal and communication skills to work effectively and sensitively with culturally diverse constituencies; and to express ideas clearly and concisely. Experience in customer service relations and knowledge of quality service techniques. Proficient with various computer software programs (including database, design, word-processing ,and e-mail programs).

The Robert and Margrit Mondavi Center for the Performing Arts at UC Davis (MC) reports to the Offices of the Chancellor and Provost (OCP), which has overall responsibility for the leadership, management and administration of the campus. MC fosters excellence in the performing arts through the administration of a comprehensive, multicultural program of international artistry and distinguished speakers, a regional Arts Education program, and a facility--the Robert and Margrit Mondavi Center for the Performing Arts at UC Davis--a regional resource that enhances the research, instruction, public service, and outreach mission of UC Davis. The operating budget for the MC is approximately $7.3 million.

Responsibilities:
Under the direction of the Director of Audience Services provide strong oversight of the daily operation of all Ticket Office sales locations including the sales management process, fiscal management and control. Evaluate on an on-going basis, ways to provide more efficient and effective ticket sales processes. Monitor the effectiveness of new sales methods and report conclusions to program sponsors. Work with program sponsors, on an annual basis, to develop an integrated vision for the Ticket Office that reflects our sponsors' varying service needs and growth plans. Complete a comprehensive annual evaluation of Ticket Office services (e.g. number of tickets sold, historical trends, financial analysis, etc.) for each program sponsor. Meet with sponsors to review evaluations and work together to improve services, systems, communication effectiveness, customer satisfaction and other areas important to program sponsors and the Ticket Office. Develop methods to track and evaluate customer satisfaction with the ticketing systems and services. Work with program sponsors to integrate data collection process with customer data collection efforts. Ticket Office strategies include customer satisfaction surveys, focus groups and other methods used to collect customer information. Use data from multiple sources to modify service delivery methods and approaches. Develop benchmarks for customer service, financial management, process improvements and innovation from customer and program sponsor perspectives. Track and report annually on goal achievements. Interpret and administer campus, systemwide, local, state and federal policies and procedures that govern ticket sales and cashiering. Identify areas where UC Davis policies should be modified to reflect modern cash handling processes and use of technology to support internal controls. Work within the system to implement changes as needed. Evaluate space, technological and communication requirements of the Ticket Office and all sales outlet locations including, but not limited to, five additional venues, including: Wyatt Auditorium, the UCD Memorial Union, Wright Hall (UCD Main Theatre), the Varsity Theatre in Downtown Davis, and the Mondavi Center's Studio Theatre and Jackson Hall. Provide leadership and direction in optimizing existing spaces ensuring that the need for future ticketing services are met as new event venues are developed.

Provide direct supervision and training of employees covered by staff policy and/or collective bargaining agreement. Oversee and manage Call Center and Ticket Office staff and operations. Interview, select, and mentor staff. Monitor, evaluate, and manage the performance of staff. Determine, distribute, and supervise the work performed. Forecast, assess, and plan for personnel and resources needed to meet departmental goals. Reorganize or vary responsibilities of staff to improve work distribution and productivity to meet operational needs. Develop comprehensive career and student training programs that assist employees in fully understanding the ticketing processes, marketing/sales roles, cash management responsibilities, customer service practices, and other areas of critical importance to the success of the Ticket Office. Develop and update training sessions and manuals for staff and students. Develop procedure manuals for department documentation. Orient new staff and student hires on department and campus administrative policies. Facilitate the integration of program sponsors into employee training so that all employees understand the breadth, scope and focus of various university events. Meet affirmative action goals. For each program sponsor, maintain a strong understanding of their marketing objectives and methods for reaching clients. Stay abreast of marketing trends in the ticketing industry. Actively identify ways to help program sponsors become more effective in their marketing efforts. Using knowledge of the ticketing system and its data capabilities, provide analytical support for the marketing efforts of program sponsors. Assist program sponsors in understanding the full capabilities of our ticketing system as it relates to support of their marketing efforts. Work with program sponsors to identify cross-marketing opportunities between events and program areas. Assist program sponsors in identification and evaluation of purchasing and donation trends and cross-over patterns between program areas. Sell ads on ticket stock; direct and oversee the design of ticket stock. Develop and oversee design of creative mailing packets for tickets, venue locations, etc. Serves as ticket system administrator creating system specifications, managing system access and user rights. Oversee system security, definition of report structures and formats, technical training of staff and program sponsors (e.g. Mondavi Center Events, Music and Dance, etc.). Develop the technological interface for seating, pricing and configuration of venues for every ticketed event at UC Davis and at related sites. This requires development of online configurations, creation of ticket
formats according to each producer's specification and integration of multiple pricing structures. Evaluate state-of-the-art ticketing systems and procedures at other universities and venues; integrates best practices at the MC Ticket Office. Negotiate service contracts with the provider of our ticketing system (currently Paciolan). Maintain a comprehensive understanding of the data collection and reporting capabilities of our ticketing system. Work with the ticketing system provider to identify ways to improve the reporting of information in support of our program sponsors' goals and objectives. Use knowledge of database management systems to identify strategies for linking ticketing information with MC Ticket Office and program sponsor databases. Work with sponsors to develop a campuswide approach to data management that optimizes our knowledge about customer purchases and donation trends occurring in the ticket sales process. Identify training needs of program sponsors as they relate to our ticketing systems. Facilitate training sessions between our ticketing system's service providers and program sponsors. Work with program sponsors to develop a website presence that effectively promotes university events and ticketing services. Evaluate emerging ticket sale methodologies and assesses cost/benefit relationships with these new methods. Work with program sponsors to evaluate the cost/benefit relationship with new methods and integrate new ticket sales/systems as is appropriate for program sponsors. Administer and manage the unit's sophisticated automatic call distribution phone system. Other duties as assigned.

Requirements:
